Administrative Opportunities

Marketing & Communications Coordinator

SUMMARY:

A vital member of the marketing and communications department, the Marketing and Communications Coordinator coordinates direct mail, outdoor marketing, and grass roots campaigns for the Annenberg Center for the Performing Arts, working with all members of the department to assist in reaching earned revenue goals. This position is part-time.

ESSENTIAL FUNCTIONS:

  • Coordinate all direct mail marketing campaigns, serving as the primary contact with the mail house. 
  • Track postage accounts for both outgoing mail and business reply mail, and request postage as needed, working closely with the Center’s finance department, Penn Mail and outside mail house.
  • Maintain communication with box office pertaining to database management and internal list pulls for mailings.
  • Maintain communication with box office pertaining to drop dates and content of all outgoing mailings.
  • Act as primary contact with the Greater Philadelphia Cultural Alliance List Cooperative, and facilitate list exchanges.
  • Coordinate poster schedule for marketing department and work with Graphic Designer to create posters. Ensure timely delivery of posters and adhere to schedule.
  • Coordinate the Marketing department’s program stuffer schedule and work with graphic designer to create stuffers and coordinate insertion with front of house staff.
  • Responsible for tracking various expenses and ensuring timely payment of invoices.
  • Coordinate plasma screen advertising in the Center’s lobby.
  • Fulfill ticket donation requests.
  • Assist in developing sales analyses, reports and marketing plans as needed.
  • Contribute as an active part of the marketing team and attend weekly marketing meetings.
  • Participate in development and implementation of grass roots marketing plans.
  • Prepare marketing materials for performances and grass roots marketing initiatives.
  • Serve as Marketing and Communications representative at performances and at grass roots marketing events as needed.
  • Provide support to the Marketing and Communications Manager, Manager of Digital Media and Social Networking and Director of Marketing and Communications as needed.
  • Other duties as assigned.

QUALIFICATIONS:

Bachelor’s degree required and a minimum of one year related experience or equivalent combination of education/training and experience.

KNOWLEDGE/SKILLS/ABILITIES:

  • Strong attention to detail and ability to work on multiple projects simultaneously.
  • Strong communication skills.
  • Ability to interact positively with others in a team-oriented environment.  
  • Excellent organizational skills.
  • Ability to take initiative and think creatively.
  • Excellent analytical skills.
  • Knowledge of Microsoft Office required. (Excel, Word and Power Point)
  • Excellent writing and proofreading skills.
  • Knowledge of the performing arts is preferred.
  • Prior direct mail experience preferred.

May be required to perform essential functions of the job during weekend or evening hours.

Student Marketing Team Members

The Annenberg Center for the Performing Arts wants YOU to get involved with our student efforts!

Our new Student Marketing Team (SMarT) is seeking enthusiastic and driven students to help increase the presence of college students at the Annenberg Center, primarily by promoting Annenberg Center performances, student ticket prices, and various social events.

Responsibilities will include:

  • Acting as the main liaison between the Annenberg Center and college students
  • Brainstorming about student-directed marketing campaigns to spread the word about performances to Penn and other campuses in the area
  • Creating promotional and social events to get students excited about coming to performances
  • Working closely with the Annenberg Center's marketing department, as well as all other departments across the organization

Requirements for membership include:

  • Excellent communication and analytical skills
  • Good teamwork and ability to take initiative
  • A knowledge or a love for the performing arts is a plus!

Volunteer to be an Annenberg Center Usher and see performances for free! Ushers are needed to take tickets, seat patrons, distribute programs, and provide excellent customer service to patrons of the Annenberg Center.
